The Role
We are looking for a highly organized, proactive, and resourceful Executive Assistant (EA) to the Chief Business Officer (CBO). This role will be instrumental in supporting the CBO’s daily operations, managing schedules, coordinating meetings, and handling critical administrative tasks. The ideal candidate is detail-oriented, thrives in a fast-paced environment, and can anticipate needs before they arise. This is an in-office role based in Los Angeles.
Key Responsibilities
- Serve as the right hand to the CBO — acting as their eyes and ears, staying plugged in across the org, and proactively identifying areas that need attention or follow-up.
- Manage and organize the CBO’s inbox — prioritizing emails, drafting responses, and ensuring nothing slips through the cracks.
- Own calendar management and scheduling, keeping a strong pulse on priorities, time management, and upcoming needs.
- Stay on top of task and project follow-ups for the broader team, ensuring deadlines are met and momentum is maintained.
- Lead the coordination and execution of OKR, KPI, and biannual planning cycles — keeping the process smooth, timely, and aligned with company goals.
- Take first passes at strategy and research docs the CBO wants to explore — gathering insights, structuring ideas, and surfacing key takeaways.
- Act as a gatekeeper and primary point of contact for internal and external stakeholders.
- Prepare meeting agendas, take notes, and track follow-ups to ensure action items are completed.
- Assist with travel coordination, expense reporting, and document prep.
- Collaborate cross-functionally with teams to ensure smooth communication and operational alignment.
- Anticipate needs, solve problems proactively, and constantly look for ways to maximize efficiency and impact.
What We’re Looking For
- 3+ years of experience as an Executive Assistant, ideally in a startup, media, or tech environment.
- Strong organizational skills with an ability to multitask and prioritize effectively.
- Excellent written and verbal communication skills.
- High level of professionalism, discretion, and judgment.
- Proficiency in Google Suite, Slack, and calendar management tools.
- A proactive and problem-solving mindset with a strong sense of ownership.
- Ability to thrive in a fast-paced, evolving environment.
