Job Title: Document Controller – Engineering Department

Job Summary:
We are seeking a detail-oriented and proactive Document Controller* to join our Engineering Department. The ideal candidate will be responsible for managing, organizing, and maintaining engineering documents and records, ensuring compliance with internal processes and client requirements. The role also involves active coordination with clients for meetings, preparation and submission of engineering documents, and support in project tracking and reporting.
Key Responsibilities:
– Prepare, review, and submit engineering documents including drawings, technical submittals, transmittals, and reports.
– Attend client meetings and assist in the documentation of minutes, action items, and follow-ups.
– Maintain accurate records of all project-related documentation in both digital and hard copy formats.
– Coordinate with engineering, procurement, and quality departments to ensure timely submission of required documents.
– Develop and maintain a structured filing system that ensures ease of access and version control.
– Monitor document lifecycle including creation, review, approval, issuance, and archiving.
– Ensure all documentation complies with company standards and client contractual obligations.
– Support engineering and project teams with documentation tracking, updates, and project status reports.
– Handle document revisions and ensure obsolete documents are properly archived.
– Liaise with external stakeholders and client representatives for documentation-related queries or requirements.
Qualifications & Skills:
– Bachelor’s degree (16 years of education) in Engineering, Business Administration, or a related field.
– Minimum 2 years of experience in an engineering or technical environment, preferably within construction, oil & gas, or EPC projects.
– Strong understanding of document control procedures, standards, and software systems (e.g., Aconex, Procore, SharePoint, EDMS).
– Excellent verbal and written communication skills.
– Proficient in MS Office Suite (Word, Excel, Outlook, PowerPoint).
– Ability to multitask and work under tight deadlines.
– High attention to detail and organizational skills.
– Professional demeanor with the ability to interact effectively with cross-functional teams and clients.
Preferred Qualifications (Added Advantage):
– Familiarity with ISO 9001 documentation requirements.
– Knowledge of engineering drawings and project lifecycle.
– Experience in supporting QA/QC audits and compliance documentation.
– Basic knowledge of AutoCAD or other engineering software is a plus.
Working Conditions:
– Office-based role with occasional site visits and client office meetings.
– May require extended hours during peak project phases.
